Information for Members & New Residents

Every resident – whether an owner or a tenant – is automatically a member of the association (SOA). But, a tenant can vote in the AGM / ENG only if he / she carries an authorization from the owner member. The businesses too are members of SOA.

  1.  Refer to Shivani website http://SHIVANI-APTS.WEBS.COM for more info on the Managing Committee, facilities, association bye-laws, rules & regulations, parking rules, latest news, discussions, Forms download, etc.
  2. Information for NEW RESIDENTS:
  1. Before you move-in, first meet the secretary and fill a new resident registration form. Provide your email id to receive regular communication.
  2. Collect your parking sticker from the previous tenant or owner of the apartment. A new sticker can be purchased from the secretary to replace a lost or damaged sticker.
  3. You are encouraged to use milk and newspaper delivery service provided by the existing vendor Mr.Ramesh.
  4. As per our bye-laws, no business can be carried out in any of the apts.
  5. Collect the property tax card, water & sewage tax card and electricity meter card from the previous resident / owner. Ensure that the dues are paid till date.
  6. If you are a tenant, ensure that you pass all SOA notices to your owner.
  • A resident who is moving furniture and other heavy house-hold items through the lift or staircase is responsible for making good any damages caused. Any loading or unloading will be allowed only between 10:00 AM and 5:00 PM to avoid inconvenience to school and office goers. Mind that large trucks cannot be maneuvered within Shivani easily. Heavy trucks could easily damage the driveways that contain a number of sumps & manholes.
  • Any installation of antenna, A/c or other equipment on the terrace should comply with the published rules. You need to fill & submit the form available with the secretary. You need to allow at least 3 days for scrutiny & approval.
  • Common facilities like community hall or terrace garden can be booked and used for your family functions, subject to the published terms and conditions. You need to fill & submit the form available with the secretary or downloaded
  • Residents are expected to park their vehicles only in THEIR OWN designated space. Residents are not allowed to park their vehicles in the designated Guest Parking spaces. Please refer to the website for more info.
  • If you have a complaint, please write in the Complaint book available near the Block-3 Community hall entrance. SOA is responsible only for issues related to the common area & facilities.
  • Security Guards should NOT be used for running your house-hold errands.
  • Common areas of Shivani are non-smoking areas.

    NOTICE OF EXTRA-ORDINARY GENARAL BODY MEETING (EGM)

     An EGM of the members of the Shivani Owners’ Association will be conducted as per the schedule given below :


    Date & Time : Sunday, 7th March 2010. 4:00 PM to 6:00 PM

    Venue : Shivani 3rd Block Community Hall.

    Agenda : Deliberation and voting on the issues given in attached sheets.

    Special Note : Please be present 10 mts before. No children, please.


    All members are requested to attend without fail, as we will be discussing several issues related to the expenses and money to be collected. Be informed that, as per our bye-laws, the decision of the EGM is binding on all members. Tenants may please pass on a copy of this note to their owners. When the owners are not attending, Tenants can attend and vote the EGM on behalf of their owners.


    You may please fill, sign and handover your vote on issues on FORM-A to the President, Jt. Secretary or the Treasure three days before the EGM. The FORM-B can be given before, during or after the EGM. Those who are not present in Chennai can fill and send their response by email with a copy to myself ([email protected]) and Mrs.Savitha ([email protected]) (SEND TO BOTH).


    Please indicate in your form if you want to express opinion about any particular issue in the EGM. The items taken up for discussion and the time spent will depend on the choice of majority of the members present.

    Airtel Intercom

    You might know that the apartments in Shivani that have AIRTEL are connected by AIRTEL intercom. Also the securities in Block-2 (# 5801) and Block-3 (# 5824) are given free lines by AIRTEL with corresponding numbers 4205 6172 and 4205 6173.


    The newly constructed security cabin at the ECR entrance near Block-1 will also have AIRTEL Intercoms, soon. Members are encouraged to avail AIRTEL lines to make this intercom facility available between all apartments. Apart from calling all other apartments free, you will connected to the security staff easily. If you don't want to use AIRTEL landline facility, they are willing to give a line with free intercom when you avail their broadband facility. Please contact Mrs.Bhanu, our Jt.Secretary if you need help.


    We can even ask near by grocery shops and retailers to join our intercom ring.
